Arrangement
The data folders contain data sheets describing items and their acquisition, most of which are based on information in Series C: Accession Cards. Some data folders also contain correspondence, photographs and other records. The accession numbers for the collections and the data folders were, for the most part, assigned to indicate the order in which the material was acquired. Occasionally there are duplicate numbers, some of which are for material transferred from other collections, such as from the College of Human Environmental Sciences (HES).
Occasionally there is a file in Series A for a collection, especially when several different collection numbers were assigned to the material donated by a single individual, e.g. the Salmon paintings.
Among the cards in Series C are some records for acquisitions that are not mentioned in Series A or in Series B.
Museum staff created an inventory to the cultural collections by entering information from the data folders into two lists. One list is an inventory of objects in Microsoft Word found at V:\SCUA\Museum-New\MUSEUM\INV\CULRTL.docx. The other listing is an Excel spreadsheet that was created when the inventory was added to the University’s Fixed Asset Management System found at: V:\SCUA\Museum-New\MUSEUM\INV\scua working inventory.xlsx. These files can be searched by staff in Special Collections and University Archives.
The following list indicates first the folder number, which is preceded by a B on the folder. It is followed by a slash [/] and the accession number/s in the folder, e.g. 1/596 for the first folder, which contains information about the collection numbered 596. Some accession numbers have two digits, a period, and additional digits, e.g. 86.1. There are some gaps in the sequence of the accession numbers.
At the end of each entry for a folder there is a period followed by a space. Some collection numbers are preceded by a letter. Unless otherwise noted, the database must be searched for additional information.
